  <title>About the role</title>

  <text>This is a temporary position on an 18-month contract based in Tallinn, Estonia.

You'll lead a team of 5 across four offices in Tallinn and Tartu, ensuring day-to-day operations run smoothly while continuously raising the standard of workplace experience. You'll be hands-on when it counts — trusting your team to own their spaces, while stepping in to remove roadblocks, resolve escalations, and drive consistency across all sites.</text>

  <title>Main tasks and responsibilities:</title>

  •  <point>Lead, mentor and inspire a team of 5 across four Estonian offices, fostering collaboration, growth and operational excellence while ensuring smooth day-to-day operations.</point>
  •     <point>Own the workplace experience across Tallinn and Tartu, ensuring consistency, high standards and continuous improvements to create welcoming, functional and efficient workspaces.</point>
  •     <point>Drive office events and culture initiatives, guiding your team to deliver experiences that bring people together.</point>
  •     <point>Manage budgets, vendor relationships and contracts, ensuring cost-effective operations and strong collaboration with Finance, Legal, IT and Real Estate teams.</point>
  •     <point>Act as a key point of contact for employees, visitors, suppliers and stakeholders, delivering clear communication and alignment across local and global teams.</point>
  •     <point>Partner with People and IT teams to support onboarding, offboarding, compliance, health and safety requirements, risk assessments and asset management.</point>

  •     <point>Proven experience in workplace experience, office management or a similar field, including leading and developing people.</point>
  •     <point>Communicates clearly and effectively with a wide range of stakeholders; fluent in Estonian and English (additional languages a plus).</point>
  •     <point>Highly organised, able to prioritise and manage multiple projects in a fast-paced environment.</point>
  •     <point>Strong project management, event planning and problem-solving skills with excellent attention to detail.</point>
  •     <point>Comfortable operating across multiple locations — delegates effectively, trusts the team, and steps in when needed.</point>
