Webinar Program & Marketing Coordinator

Part-Time | Remote | Approximately 5–10 Hours per Week

Talentuch is looking for a part-time Webinar Program & Marketing Coordinator to help us run our international HR Community webinar program.

We organize approximately two webinars per month with international HR, recruitment, leadership, and business professionals.

We are looking for an assertive executor: someone who likes order and clear processes, but when something does not go according to plan, takes more action instead of stopping.

You are polite, but not passive. You are organized, but you do not hide behind processes. You respect people, but you are comfortable setting boundaries. You understand that an unanswered email is not a result.

What This Role Is Really About

Your main responsibility is to keep the webinar program moving forward.

On paper, organizing webinars looks simple:

Speaker confirmed → topic approved → content prepared → page published → webinar promoted → webinar held.

In reality, things happen.

  • A speaker confirms and then disappears.
  • The speaker sends a poor-quality photo that cannot be used for promotion.
  • The final topic is still missing five days before publication.
  • A team member goes on vacation.
  • The designer sends a visual that does not meet our standards.
  • The webinar page has not been published on time.
  • Someone says, “I thought another person was doing it.”

Your job is not only to update the tracker or report that there is a problem.

Your job is to notice what is blocking the result, take action, follow up, find alternatives, set clear expectations, and escalate when necessary.


Your Main Responsibilities

You will coordinate the webinar process from potential speaker engagement through webinar completion and post-webinar handoff.

When you face resistance, delays, or problems, you take appropriate action instead of stopping.

Your responsibilities will include:

  • Communicating with potential and confirmed speakers in professional English and following up proactively through appropriate professional channels.
  • Clearly communicating webinar rules, requirements, expectations, and deadlines, while setting professional boundaries when necessary.
  • Coordinating webinar dates, preparation calls, and communication between speakers and internal team members.
  • Collecting speaker biographies, headshots, titles, company information, LinkedIn profiles, and other required materials.
  • Coordinating NDAs and other required documentation.
  • Maintaining an accurate webinar tracker with clear statuses, deadlines, owners, and next actions.
  • Ensuring outstanding tasks are completed on time and that the results meet expectations.
  • Making sure the right information and materials are provided to the relevant team members on time.Identifying potential risks early and helping find alternative solutions when the original plan is not working.Providing clear and respectful feedback when corrections are needed.
  • Escalating issues with clear context and suggested next steps.
  • Supporting webinar preparation before the live event and coordinating the handoff to post-webinar content production.


Who You Will Work With

You will not be responsible for doing everything yourself.

  • Webinar Program Owner – Violetta

Responsible for overall direction, priorities, important speaker and topic approvals, reviewing the webinar pipeline, and making decisions when needed.

You are expected to bring problems with context and possible solutions.

  • Speaker Sourcer – Svitlana

Responsible for identifying and sourcing potential webinar speakers.

You will help move speakers through the process and coordinate communication and next steps.

  • Content Marketer – Maria

Responsible for webinar descriptions, promotional emails, LinkedIn posts, articles, landing page copy, and post-webinar content.

You will make sure she receives complete information and knows the required timeline.

  • SEO Specialist – Polina
  • Website Specialist – Yaroslav
  • Promotion Specialist – Maksym

Your role is to keep the entire process connected and moving forward.

Workload and Compensation

This is a remote, part-time position.

The expected workload is approximately 5–10 hours per week, depending on the current webinar pipeline.

We currently have a higher initial workload as we organize upcoming webinars. The regular webinar program includes approximately two webinars per month.

Compensation: $7 per hour.
