Job description

Outsourcing Staffing Advantage is seeking a highly organized and detail-oriented Therapist Compliance & Onboarding Coordinator to join our ABA team. This role serves as the primary point of contact for new and existing therapists, ensuring they maintain all required certifications, credentials, and documentation needed to provide services. The ideal candidate will proactively track expiration dates, follow up with therapists regarding renewals, guide new hires through the onboarding and credentialing process, and ensure compliance with all company and regulatory requirements.

This position requires exceptional organizational skills, outstanding communication, and the ability to manage multiple therapists and deadlines simultaneously. Since this role is the first point of contact for many new therapists, a professional demeanor and a near-native English accent are essential.

Key Responsibilities

  • Serve as the primary point of contact for therapists regarding onboarding, credentialing, certifications, and compliance requirements.
  • Guide newly hired therapists through the onboarding process, ensuring all required documentation, certifications, and training are completed before they begin providing services.
  • Monitor certification and credential expiration dates, proactively reminding therapists of upcoming renewals and required recertifications.
  • Follow up consistently with therapists to obtain outstanding documentation and ensure compliance requirements are completed on time.
  • Maintain accurate and organized records of therapist certifications, licenses, training, and compliance documentation.
  • Track multiple renewal timelines simultaneously and maintain reminder systems to ensure no deadlines are missed.
  • Assist therapists with navigating certification websites, required courses, forms, and other credentialing processes.
  • Communicate professionally with therapists regarding missing documentation, renewal requirements, and onboarding updates.
  • Collaborate with internal departments to ensure therapists remain compliant and eligible to provide services.
  • Maintain confidentiality while handling sensitive employee documentation and records.

Requirements

  • Excellent verbal and written communication skills in English and Spanish (C1+), with a near-native English accent.
  • Previous experience in administrative support, employee onboarding, compliance coordination, customer service, or a similar role.
  • Exceptional organizational skills with the ability to manage multiple deadlines, reminders, and follow-up tasks simultaneously.
  • Strong attention to detail and accuracy when reviewing documentation and tracking compliance requirements.
  • Excellent time management and follow-up skills.
  • Comfortable communicating with employees by phone, email, and messaging platforms.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and the ability to quickly learn new software and online platforms.
  • Self-motivated, proactive, and able to work independently with minimal supervision.
  • Professional, friendly, and service-oriented attitude.
