The Surgery Scheduler coordinates surgeries for five surgeons, including securing surgery dates and times, coordinating operating room availability, obtaining pre-authorizations, preparing surgical packets, and communicating clearly with all involved parties. This position plays a critical role in maximizing provider and facility efficiency while supporting patient comfort, safety, and understanding throughout the surgical process.

Education:
High school diploma or equivalent.
Licensure:
None
Experience:
Previous experience as a surgery scheduler preferred, but not required.
Certification/Registration:
None
Other Skills and Knowledge:
Medical terminology. Computer skills. Telephone etiquette. Excellent oral and written communication skills.

Key Responsibilities

  • Schedule inpatient and outpatient surgical procedures in coordination with physicians, hospitals, and ambulatory surgery centers

  • Communicate surgery details with patients, including dates, arrival times, pre-op instructions, and required testing

  • Coordinate with joint surgeries with other departments and facility scheduling teams 

  • Prepare and distribute surgical packets and documentation

  • Verify patient information, physician orders, and required authorizations or referrals

  • Schedule post op appointments

  • Maintain accurate records in the electronic medical record and reconcile post-procedure documentation

  • Identify and resolve scheduling conflicts or changes in a timely manner

  • Collaborate with clinical and administrative staff to improve scheduling workflows and efficiency

  • Ensure compliance with office policies, HIPAA regulations, and payer requirements
