Job description

This is a full time position within our Lease Administration team. Lease Administrators within the Occupier Services team have responsibility for the management of client real estate information and for assisting their corporate clients directly in the management of their real estate, through web-based software solutions.

They are responsible for maintaining client relationships and supporting the transactional teams through the provision of information.
 

 Main responsibilities (no supervison required):

  • Collecting and verifying the accuracy of lease documents.
  • Analysing real estate documents and ensuring complete and accurate lease abstraction into the Client's systems and templates.
  • Monitoring, tracking, and reporting critical dates and other pertinent lease information, such as rent-free periods, security deposits, prepaid rent, etc.
  • Auditing lease abstracts prepared by other team members or third parties.
  • Administering and maintaining portfolio alerts.
  • Reconciling invoices related to rent, operating expenses, and CPI adjustments; identifying potential savings opportunities and discrepancies.
  • Creating and maintaining process manuals for new clients and reports; reviewing, maintaining, and updating existing manuals.
  • Acting as a subject matter expert (SME) for lease administration and lease abstraction processes.
  • Providing guidance, coaching, and support to junior team members.
  • Producing standard real estate reports, ad hoc reports, and research for clients as requested.
  • Assisting in the creation of reporting processes for new clients using available analytics tools.
  • Proactively identifying and flagging potential risks; monitoring risks closely and supporting relevant teams and clients in resolving them.
  • Supporting clients with ongoing portfolio-related requests and attending calls as required.
  • Supporting the EMEA Client Manager as requested.
  • Generating regular system reports and supporting the billing process.
  • Identifying and implementing process efficiency improvements.
  • Providing administrative support to other personnel within the department as required.
  • Performing additional department-related functions as requested.
  • Supporting migration and transition projects for new or existing clients.
  • Supporting the Manager with workload allocation and prioritization activities.

 

Qualifications and experience:

  • Fluency in English and Polish is a must
  • Intermediate knowledge of other European language is a must
  • Previous experience in real estate company
  • Very good IT skills, particularly MS Office (Word, Excel, and PowerPoint)
  • Analytical skills and attention to detail,
  • Good planning and organizational skills,
  • Previous experience analysing and abstracting lease documents a strong advantage.
