About You

We’re recruiting a Sales Support & Facilities Lead, reporting to the VP – Sales, Greater China, based in Shanghai.

Responsible for administrative operations and support for the China office, ensuring efficient and orderly office functioning; coordinating various meetings and events across the China region; managing Global Visitor reception and itinerary coordination (visitors from global headquarters and overseas teams); providing professional and efficient administrative support to the management team and employees, enhancing employee and visitor experience.

What You’ll Be Doing

1. China Region Meeting & Event Organization

  • Organize and coordinate various meetings for the China region, including management meetings, sales conferences, and employee town halls.
  • Coordinate meeting venues, equipment, catering, meeting arrangements, on-site support, and meeting minutes.
  • Plan cross-regional and cross-departmental meeting schedules to ensure smooth communication and efficient execution.
  • Assist in organizing employee activities, team-building events, annual galas, and other corporate culture events.
  • Track event budgets and vendor management to ensure successful event delivery.

2. China Region Meeting & Event Organization

  • Organize and coordinate various meetings for the China region, including management meetings, sales conferences, and employee town halls.
  • Coordinate meeting venues, equipment, catering, meeting arrangements, on-site support, and meeting minutes.
  • Plan cross-regional and cross-departmental meeting schedules to ensure smooth communication and efficient execution.
  • Assist in organizing employee activities, team-building events, annual galas, and other corporate culture events.
  • Track event budgets and vendor management to ensure successful event delivery.

3. Office Administrative Operations Management

  • Oversee daily office administration and operational support.
  • Manage office environment, facilities, and fixed assets to ensure a safe, orderly, and efficient workplace.
  • Handle office supplies procurement, inventory management, and administrative cost control.
  • Liaise with and manage third-party vendors such as property management, cleaning, and security services.
  • Assist with office relocation, renovation, and workspace optimization projects.
  • Manage courier services, documents, contracts, and other administrative affairs.

4. Administrative Support & Coordination

  • Provide necessary administrative support to the China management team.
  • Coordinate cross-departmental communication and related administrative matters.
  • Assist with new employee onboarding administrative arrangements and employee care activities.
  • Participate in administrative process optimization and related project management.
  • Complete other administrative support tasks assigned by management.

This role is assigned to operate in Shanghai, Xuhui District

What You’ll have

  • Bachelor's degree or above, preferably in Administrative Management, Business Administration, English, or related fields.
  • 3+ years of experience in office administration, general affairs, business support, or related roles.
  • Experience in a multinational company is preferred.
  • Experience in organizing large-scale meetings, events, and executive reception is preferred.
  • Excellent organizational coordination and project management skills.
  • Strong communication skills and cross-cultural collaboration ability.
  • Strong service mindset and attention to detail.
  • Ability to manage multiple projects simultaneously and effectively prioritize.
  • Proficient in Microsoft Office (Outlook, Teams, PowerPoint, Excel, etc.).
  • Good written and verbal communication skills in both Chinese and English, able to communicate smoothly with global teams.
  • Proactive and with a strong sense of responsibility.
  • Professional image and business etiquette.
  • Resilient under pressure and adaptable to a fast-paced environment.
  • Team player with a continuous improvement mindset.
