Job description

DUTIES & RESPONSIBILITIES

1. VP Administrative Support

Provide day-to-day secretarial and administrative support to the Corporate Affairs VP, including handling correspondence, arranging appointments, screening meeting requests, and supporting document preparation as requested.

2. Calendar & Meeting Management

Manage the VP’s calendar and appointment schedules; prioritize and coordinate internal and external meetings; resolve scheduling conflicts; book meeting rooms and prepare meeting logistics where required.

3. Travel & Expense Management

Arrange domestic and international travel for the VP, including flights, hotel, ground transportation, and visa application support where needed; prepare and submit expense claims promptly and track approval status.

4. Communication & Coordination

Act as a key contact point for matters directed to the VP; coordinate with internal and external stakeholders on behalf of the VP for administrative matters; ensure timely follow-up on requests and actions.

5. Other Assigned Tasks

Maintain organized filing and records for VP-related materials; provide other VP-specific administrative support as assigned.

JOB REQUIREMENTS

Academic / Professional qualification

Bachelor’s degree or above

Working experience
At least 5 years of relevant experience in supporting senior executives; experience in multinational companies preferred. The candidate should demonstrate high integrity, strong sense of confidentiality, attention to detail, proactive mindset, strong ownership, and good coordination skills.

Language ability
Chinese native speaker with good spoken and written English

Computer literacy
Proficient in MS Office including Word, Excel, PowerPoint, and Outlook
