LOCATION DETAILS: Louisville, KY

TRAVEL:

Event travel and attendance at staff meetings & trainings is required. Event travel will include overnight stays for events. As part of the event operations team during the event season which runs from October thru April this role is expected to be available to work 2-3 weekends per month.

HOW YOU WILL MAKE AN IMPACT

The Operational Excellence Supervisor reports to the Regional General Manager. Event travel and attendance at staff meetings & trainings is required.

The Events Supervisor is an important member of our Varsity All Star Operations team, ultimately responsible for assisting the Director of Competitions ensure that their region achieves goals in various areas of expense, budget and operational efficiencies. This person should be analytical, organized, and process driven.

WHAT YOU WILL DO

  • Work closely with the Event Planners, Regional Director of Operational Excellence and Regional General Manager.
  • Provide leadership, direction, and supervision to the regional operations team which may include: Event Planners and Judge Operations.
  • Meet regularly with the regional operations team.
  • Manage, motivate and retain operations team.
  • Lead Hiring and Onboarding of team in accordance with required compliance.
  • Management of team’s performance to consistently encourage retention, growth and productivity
  • Collaborate with the regional leadership team to evaluate and conduct annual performance evaluations of team members.
  • Oversees and trains operations team on day to day work in addition to onsite event roles.
  • Assist in the management of all assets such as (housing, travel, staffing, event communications, etc.)
  • Serve in a management and/or support role at events in other regions as needed.

Staffing Functions

  • Recruit and maintain a database of reliable, loyal staff for competition season.
  • Collaborate with camp operations staffing team across various brands on best practices to utilize staff across the entire business.
  • Coordinate and manage onboarding of new and returning staff for the competition season
  • Coordinate and manage compliance status of new and returning staff for the competition season
  • Communicate regularly with staff on employment status and intent to work
  • Track overall performance, availability, and years of service of staff
  • Evaluate pay rates for staff based on intent to work and year of service
  • Oversee relationships with various staff and local universities/groups for event opportunities
  • Assist the Director of Operational Excellence in managing the goals, budgets and success metrics established for event personnel.
  • Assist in developing best practices for office and event operations to utilize staff effectively in the area.
  • Report and assist in solving staffing issues such as: onboarding, compliance, payroll, etc.
  • Work closely with Human Resources to ensure staff are eligible to work competitions and up to date on required documentation for employment.
  • Approve staff availability and hiring request in Workday.
  • Coordinate as needed with team members in other regional offices.
  • Perform any duties of an Event Planner as needed.
  • Help provide support and resolution for payroll from events for staff.

QUALIFICATIONS

Knowledge/Skills/Abilities

  • Knowledge of company programs including but not limited to UKG and Workday including how to pull reports and input data.
  • Proven ability to lead individuals.
  • Strong familiarity with productivity tools such as Microsoft Office Suites.
  • Fluency in Microsoft Excel and SalesForce.
  • High level of customer service acumen.
  • Excellent organizational skills with the ability to handle multiple tasks simultaneously.
  • Exceptional communication and interpersonal abilities to interact with various stakeholders.
  • Ability to work independently and collaboratively as part of a team.
  • Strong problem-solving skills to handle unexpected customer issues effectively.

Education/Experience:

  • Bachelor’s degree in business or related field or equivalent work experience.
  • Minimum of 5 years industry experience.

PHYSICAL REQUIREMENTS:

The physical demands that are described as required are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  

  • While not participating in an event this job operates in a professional office environment. Largely a sedentary role with some filing requiring the ability to lift files, open filing cabinets and bending or standing on a stool as necessary. Ability to sit or stand for long periods through meetings and while operating office equipment, PC’s, laptop, telephone will be required.
  • During events the ability to stand and walk for long periods of time (5 hours plus) is required. The ability to communicate with customers and colleagues using the following but not limited to radio, walkie talkie, text message and email is required. The ability to lift, bend, push, pull and manipulate equipment that is a minimum of 30 lbs. is required.
