DCSAM is seeking a highly organized, experienced, and proactive Office Manager to oversee the daily administrative operations of our office. This role provides comprehensive administrative support to the Branch Manager and Project Management team while ensuring the office operates efficiently and professionally. The Office Manager may also supervise administrative and office support staff and serve as a key liaison between the local office and the corporate team.

Location: This is an in-office position based in Lake City, Florida, with travel to Clay County required 1–2 days per week.

Major Duties and Responsibilities:

  • Manage the daily administrative operations of the office to ensure efficiency and organization.
  • Receive, sort, organize, and distribute incoming mail, paperwork, and correspondence.
  • Maintain, troubleshoot, and coordinate service for office equipment, including copiers, printers, fax machines, and mobile devices.
  • Order, track, and manage office supplies, furniture, and technology resources.
  • Prepare and coordinate outgoing shipments, returns, and other logistics.
  • Coordinate recruitment activities, including scheduling interviews and arranging temporary staffing as needed.
  • Provide administrative support to managers, helping prioritize workloads and meet project deadlines.
  • Partner with the Project Manager to assist with invoicing, reporting, and other administrative needs.
  • Prepare and maintain accurate personnel records, onboarding documents, and new hire paperwork.
  • Keep employee handbooks, policies, and office procedures current and up to date.
  • Coordinate hiring, layoffs, terminations, and other HR documentation with the corporate office.
  • Work closely with the corporate payroll team to ensure timely and accurate payroll processing.
  • Maintain organized, accurate, and confidential employee files.
  • Compile, enter, and submit weekly operational reports and performance metrics.
  • Oversee office telephone systems and help maintain effective internal communications.
  • Perform other administrative and office management duties as assigned.
  • Must be at least 18 years of age.
  • High School Diploma or GED required.
  • Previous Office Management experience required.
  • Proficiency in Microsoft Office Suite, with strong working knowledge of Excel and Word.
  • Excellent organizational, communication, and time management skills.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Professional demeanor with the ability to handle confidential information discreetly.
