The Role

We are seeking an experienced and highly organized Office Administrator to support the day-to-day operations of our Japan office. This role serves as a key point of coordination between local staff, service providers, vendors, regulators, building management, and global teams. The successful candidate will be responsible for office administration, client event support, regulatory and operational coordination, employee onboarding and offboarding support, and general facilities management. The ideal candidate is proactive, detail-oriented, service-focused, and capable of managing multiple priorities in a fast-paced environment.

Responsibilities

Office Operations & Administration

  • Manage office operations and administrative functions to support business continuity, including office equipment, emergency supplies, and workplace facilities.

  • Manage incoming mail and correspondence, including notices and requests from building management, and other notices from tax, pension, health insurance, municipal, and other government authorities.

  • Coordinate courier services and conduct post office visits to process official correspondence, executed documents, and payment-related documentation.

  • Provide local support for payroll, accounting, legal, and other external service providers.

  • Assist HR with on-site support for employee onboarding and offboarding activities.

Executive & Business Support

  • Arrange visitor logistics, including transportation, hotels, restaurants, event venues, and communication with drivers and service providers.

  • Book domestic and international business travel.

  • Assist with preparation of marketing materials, presentation decks, and promotional items.

  • Assist with firmwide events, including team-building activities, year-end celebrations, town halls, and other corporate events.

Client Events & Vendor Coordination

  • Coordinate client events, including venue selection, vendor sourcing, and event logistics.

  • Liaise with local vendors and service providers to ensure successful execution of corporate and client-facing events.

  • Maintain strong working relationships with external vendors and business partners

Regulatory & Compliance Support

  • Upload monitoring reports and download regulatory notices through FIMOS and JSDA WAN systems.

  • Maintain the JSDA sales representative registrations, renewals, and training registrations.

  • Facilitate requests involving corporate seals and legal documentation with external counsel

Qualifications

  • Bachelor's degree or equivalent practical experience.

  • 5+ years of experience in office administration, executive support, operations, or a similar role.

  • Experience working within financial services, asset management, professional services, or a regulated environment preferred.

  • Leverage AI as a tool to drive efficiency.

  • Excellent verbal and written communication skills in Japanese and English.

  • Experience coordinating vendors, events, travel, and office facilities.

  • Proficiency with Microsoft Office applications, including Outlook, PowerPoint, Word, and Excel.
