The Over the Road (OTR) Customer Service Assistant (CSA) supports our Drivers with any issues that may cause a trip interruption. They ensure fleet maintenance requirements are accurately identified, recorded, and prioritized within the maintenance system and meets safety, operational and Driver needs. The OTR CSA is a team player who provides exceptional customer service to our Drivers, outside Vendors and Bison’s customers. This role requires the CSA to have the ability to accurately perform multiple tasks in a high-volume environment, while working quickly to reduce equipment downtime. Continuous and effective communication with all parties involved is essential.

Specific Responsibilities include:

Over-the-Road Equipment Maintenance Coordination:

  • Serve as a key contributor in ensuring loads are delivered safely, on time, and with minimal service disruptions.
  • Respond to driver breakdowns and maintenance-related concerns, prioritizing driver safety and operational continuity.
  • Coordinate timely, cost-effective repairs with approved service providers to maximize equipment uptime and fleet productivity.
  • Troubleshoot mechanical issues with drivers and proactively identify solutions to reduce delays and downtime.
  • Partner with Drivers, Operations, Vendors, and Management to communicate repair plans, status updates, and critical events.
  • Monitor repair progress and establish realistic completion timelines to support efficient load planning and customer commitments.
  • Ensure accurate documentation of repairs, estimates, invoices, purchase orders, and vendor activity in company systems.
  • Leverage warranty programs and vendor partnerships to optimize repair costs and service quality.
  • Maintain accurate maintenance data and support continuous improvement of maintenance processes and reporting.

Additional Responsibilities:

  • Support departmental initiatives, special projects, and continuous improvement efforts that enhance fleet reliability and operational performance.
  • Perform other duties as required to support the success of the Maintenance and Operations teams.

Our Ideal Candidate will possess:

  • Advanced English proficiency, with strong verbal and written communication skills.  
  • Experience in maintenance coordination, fleet maintenance, or transportation role.
  • Strong customer service skills with the ability to communicate professionally with drivers, vendors, and internal stakeholders.
  • Proven problem-solving skills with the ability to assess issues, make informed decisions, and escalate concerns when required.  
  • Strong organizational and time-management skills, with the ability to prioritize multiple tasks in a fast-paced environment.
  • High attention to detail and accuracy in record keeping and documentation.
  • Strong interpersonal skills and the ability to work collaboratively across teams.
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Comfortable learning and using maintenance management systems.
