Oversees hiring process, monitors timesheets, schedules, and assists with monitoring performance for FWS student workers, including inputting information into Evergreen and WorkDay; tracking financial aid awarded for FWS, inputs library requisitions and receipts in WorkDay, monitors expected renewal dates and assists with ILL.Job Description
Duties and Tasks:
- Provides administrative and clerical support to the University Librarians and other professional employees.
- Coordinates payroll and selected human resources services for FWS employees as needed.
- Oversees the circulation desk and FWS student employees in Coordination with the ILL Assistant and the Graduate Assistants
- In coordination with the ILL Assistant, oversees hiring, scheduling and coordination of undergraduate student workers in the library using Evergreen, WorkDay and financial aid portals, etc.
- Tracks attendance and absences of student workers; reports concerns to the University Librarian if there is a discrepancy; counsels students on performance in coordination with the ILL Assistant
- Coordinates student assistant placement within the library
- Processes fines, fees and lost book notices with the Business Office.
- Assists with planning of library outreach events and schedules any needed equipment, food, etc.
- Coordinates library events calendar and works with other departments for other events held in the library
- Notifies Plant Operations when there is a problem with the facilities, tracks maintenance requests and follows-up as needed; notifies library employees of facilities issues as needed
- Inputs requisitions for office supplies into WorkDay in a timely and efficient manner to prevent late charges, monitors the WorkDay system, and reports any discrepancies to the University Librarian
- Works with the Collection Development librarian and the University Librarian on the coordination and input of ebook, print book, print + online subscriptions, and other purchases into WorkDay for purchases/renewals
- Obtains W9s and new Vendor information as needed.
- Tracks the progress of requisitions, new vendors data, receipts, invoice discrepancies, etc. and reports them to the University Librarian, accounts payable, etc., as needed.
- Performs Interlibrary Loan functions in the absence of the ILL Assistant
- Performs reception and telephone duties as needed.
- Assists with library Facebook, Instagram and Twitter accounts as assigned.
- Creates and maintains current informational signage in the library
- Collects mail from mail room as scheduled
- Monitors library telephone system for messages, responds to messages, and notifies appropriate personnel of messages as needed
- Assists with processing, routing and reshelving library materials, inventory of print collections
- Coordinates volunteer projects, workflows, and scheduled time when needed
- Opens and closes the library as assigned; works in circulation as assigned.
- Other duties and projects as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge:
- Bachelor’s degree from a regionally accredited college or university.
- Two years library experience in Technical or Public Services, managing orders and processing collections or
- Two years business office experience, with some experience in accounting, accounts payable
- An equivalent combination of education, training and experience that provides the required knowledge, skills and abilities may be considered
- Experience with social media and event coordination
- Documented management of a team focused on customer service, with a focus building a highly effective student employee team to support library services and peer outreach.
Skills:
- Excellent communication and interpersonal skills focused on front-line, public-facing service, preferably in a Library environment
- Familiarity with a Library Integrated System (ILS), especially ILL and Circulation functions, and LOC classification
- Familiarity with WorkDay or other similar system
- Excellent Microsoft Office skills, including Excel
- Familiarity with accounting and tracking of invoices, vendor relations, and receipts
- Working knowledge of departmental budget reports
- Strong customer skills in a customer service-oriented environment
- Some familiarity with Facilities maintenance requests and processes is desired
- Familiarity with Zoom or other online meeting platform
Abilities:
- Ability to adapt to a rapidly changing environment.
- Ability to work effectively in teams using in-person and online tools.
- Ability to effectively coach student workers on a one-to-one basis concerning workplace expectations, customer service, shelving, and telephone etiquette, etc.
- Ability to manage time effectively and efficiently
- Ability to multi-task and prioritize assigned tasks
