We are currently seeking an Investigator Payments Coordinator to join our diverse and dynamic team. As an Investigator Payments Coordinator at ICON, you will play a key role in managing and processing payments to clinical trial investigators, ensuring accuracy and timeliness in financial transactions. You will collaborate with internal teams and external partners to support the financial aspects of clinical trials, contributing to smooth operations and effective investigator engagement.
Key Responsibilities
Own the end-to-end delivery of investigator payments, ensuring payments are processed accurately, compliantly, and within agreed timelines.
Serve as the primary point of contact for sponsors,investigative sites, and study teams regarding payment-related enquiries, escalations, and issue resolution.
Collaborate cross-functionally with Contracts, Accounts Payable, Clinical Operations, and other key stakeholders to facilitate seamless payment processing and site support.
Review clinical trial agreements, budgets, and payment terms to ensure accurate system configuration and execution of payment schedules.
Validate and approve site invoices, investigating and resolving discrepancies in accordance with contractual agreements and internal procedures.
Utilise payment systems, reports, and operational tools to manage ongoing payment activities, monitor performance, and drive timely payment execution.
Maintain accurate financial records and documentation, ensuring compliance with internal controls, regulatory requirements, audit standards, and company policies.
Proactively identify payment risks, process inefficiencies, and outstanding items, taking appropriate action to minimise delays and enhance the site payment experience.
Support financial reconciliation activities, reporting requirements, and close-out payment processes throughout the study lifecycle.
Contribute to continuous process improvement initiatives aimed at enhancing payment accuracy, operational efficiency, and stakeholder satisfaction.
Ideal Candidate Profile
Bachelor’s degree in Finance, Accounting, Business, or related field
2+ years’ experience in clinical trial payments, clinical finance, or financial coordination
Strong understanding of contracts, budgets, and payment workflows in clinical trials
Proven ability to manage complex financial scenarios
Advanced Excel, analytical, and stakeholder management skills
Strong attention to detail and problem-solving capabilities
Highly organized with ability to manage multiple priorities
Team player comfortable with working cross-functionally
Familiarity with financial and/or clinical systems
