The Role 

As our Intake Team Lead, you will build upon and oversee Theranica’s prescription intake function in the U.S. under the direction of the Customer Success Manager. You will be responsible for receiving incoming prescriptions, reviewing them for completeness and coverage alignment, and routing them to the appropriate dispense partner based on payer coverage and predefined business rules. 

 

This role is both operational and patient-facing. You will work closely with healthcare provider offices, patients, and distribution partners to ensure accurate, complete, and timely prescription processing.  

 

You will also lead and mentor intake team members, develop workflows and SOPs, and ensure that intake operations support is a seamless and timely patient journey with  optimized reimbursement outcomes. 

This is a unique opportunity to grow a critical function from the ground up and directly impact patient access and operational efficiency. 

 

Key Responsibilities 

  • Oversee day-to-day intake operations, ensuring accurate and timely processing of all incoming prescriptions. 
  • Receive and review prescriptions for completeness, coverage criteria, and documentation requirements. 
  • Conduct patient outreach to confirm insurance benefits, explain coverage details, and collect patient financial responsibility (copays, deductibles, coinsurance) in accordance with compliance guidelines. 
  • Route prescriptions to the appropriate dispense partner based on payer coverage, benefit design, and internal allocation rules. 
  • Proactively follow up with provider offices when documentation or required clinical information is missing. 
  • Communicate with patients, provider offices, and dispense partners to resolve intake issues and accelerate time-to-ship. 
  • Develop and implement intake SOPs, workflows, quality controls, and escalation pathways. 
  • Ensure compliance with HIPAA, payer requirements, and internal data security standards. 
  • Monitor intake Key Performance Indicators (KPIs) 
  • Train, mentor, and support intake team members as the function scales. 
  • Partner cross-functionally with Revenue Cycle, Market Access, Sales, Customer Support, and Operations to continuously improve intake performance and patient experience. 

 

Requirements

  • 5+ years of experience in DME, medical device intake, medical billing intake, or healthcare operations as a team lead with demonstrated increases in responsibility in prior roles 
  • Strong understanding of insurance verification and medical benefit workflows. 
  • Previous experience using Parachute Health Platform or other ePrescribing platforms 
  • Experience conducting patient benefit education and collecting patient responsibility. 
  • Experience communicating directly with provider offices and patients. 
  • Ability to interpret prescriptions, clinical documentation, and payer requirements. 
  • Strong organizational skills and attention to detail. 
  • Experience building or improving operational workflows and SOPs. 
  • Leadership or supervisory experience preferred. 
  • Comfortable working in a fast-paced, high-growth environment. 
  • Travel up to 15%+
