In-Store Media Ops Adminstrator

Job Purpose

The purpose of the In-Store Media Ops Administrator is to provide comprehensive administrative and coordination support across advertising activities, ensuring the accurate capturing, scheduling, and execution of campaigns within defined timelines and processes. The role supports the effective management of advertising inventory, campaign plans, and stakeholder communication to enable seamless campaign delivery.

Job Description

Advertising Administration & Coordination
• Capture, update, and maintain advertising campaign data, booking schedules, and inventory
records.
• Administer advertising slots, availability, and allocations to support campaign planning and
execution.
• Assist in coordinating campaign timelines and deliverables across internal and external
stakeholders.
• Support the execution of advertising activities in line with approved plans and processes.

Campaign Tracking & Scheduling
• Maintain and update campaign schedules, trackers, and reporting tools.
• Monitor campaign timelines and flag delays or discrepancies for resolution.
• Ensure accurate loading of advertising content, pricing, and inventory details.

Stakeholder Coordination
• Liaise with internal teams (marketing, sales, operations) and external partners/vendors to support
campaign delivery.
• Facilitate communication to ensure alignment on campaign requirements, timelines, and outputs.
• Provide administrative support to account managers and campaign teams.

Documentation & Record Management
• Maintain accurate records of advertising activities, contracts, and communications.
• Support the development and updating of standard operating procedures and process
documentation.
• Ensure all documentation complies with governance and audit requirements.

Portfolio: In-Store Media
• Execute the daily loading and maintenance of in-store media inventory, including advertising
elements and rate cards.
• Administer advertising slot availability to optimise inventory utilisation and support revenue
generation.
• Maintain and update in-store media content schedules, ensuring timely and accurate content
delivery.
• Coordinate brand content between internal marketing teams, sales teams, and external vendors.
• Support the planning and coordination of in-store campaigns, promotions, and events.
• Liaise with vendor operations teams to ensure efficient execution of in-store media activities.
• Provide sales teams with visibility of available advertising inventory to support sales effectiveness.

Qualification and Experience
• Grade 12/ Matric Certificate – (essential)
• Degree / Diploma in Media Studies or Retail - (beneficial)
• +2-year experience in an administrative support role or similar, within a media, marketing, or
advertising environment – (essential)
• Knowledge of collaboration tools and process-based workflows – (essential).
• Experience working with Microsoft Office – (essential)
• Knowledge of in-store media operations, inventory management, and rate card administration –
(desirable)
• Familiarity with content scheduling tools and systems – (desirable)
• Exposure to a customer care or retail environment- (desirable)
