Apply to this jobAs a Human Resources Specialist at Ware Malcomb, you will support the day-to-day operations of the Human Resources Department under the direction of the Mexico Senior Human Resources Specialist. In this role, you will partner with the Senior Human Resources Specialist and the Mexico Human Resources Intern to assist with the implementation and administration of key Human Resources functions, including policies and procedures, benefits administration, employee relations, legal compliance, training and development, payroll, workplace culture initiatives, and health and safety programs.
Your Role
- Provide excellent customer service to team members across supported offices by responding to inquiries and resolving issues in a timely, professional, and confidential manner
- Coordinate new hire processes, including offer letters, notification of offer letter acceptance, onboarding, and
orientation activities - Prepare and draft employment contracts and related documentation for new team members
- Process team member’s lifecycle changes, including new hires, transfers, promotions, performance reviews (90-day and annual)
- Maintain accurate and up-to-date records, ensuring all team member data and status changes are properly
documented - Administer employee benefits enrollment and process related changes
- Process Mexico payroll accurately and in accordance with established deadlines, including compensation changes and Infonavit, Fonacot, and finiquito transactions
- Review and audit digital timesheets for accuracy and completeness, following up with team members and
managers as needed to resolve discrepancies - Partner with the Mexico Human Resources Manager and Human Resources Specialist to support NOM-035
compliance and related initiatives - Meet regularly with leaders of assigned offices to provide guidance, coaching, and proactive communication
regarding HR programs and team member matters - Coordinate team member separation and offboarding processes, ensuring compliance with company policies and
legal requirements - Participate in company, office and team events as appropriate
- Assist with special projects and other Human Resources initiatives as assigned
Qualifications
- A minimum of 1-2 years of human resources generalist experience required
- Fluency in both English and Spanish (written and verbal) is required
- Bachelor's degree in Human Resources , Business Administration, or related field is required
- Professional Certification in Human Resources Management (HRCI or SHRM) is preferred
- Paycom and Deltek Vantagepoint experience is preferred
- Preferred experience with multi-state and/or international human resources and payroll functions
- Proficiency with Microsoft Office Applications is required
- Ability to achieve results under tight deadlines
- Well-organized and detail -oriented
- Ability to positively interface with all levels of team members
- Ability to prioritize multiple and competing tasks
- Ability to work under pressure and maintain composure
- Ability to ensure confidentiality in all aspects of the Human Resources Department
