Role Overview

To provide administrative and coordination support to the Health, Safety and Environmental (HSE) Manager and wider business, ensuring the effective control and maintenance of Health, Safety and Environmental documentation, training records, competency systems and compliance registers. The role is responsible for maintaining the integrity of HSE data and supporting the implementation of robust document control, training compliance and competency management processes across the organisation. 

This is a full time fixed term position for 12 months.

Key Responsibilities

  • Administer and maintain SSOW training, competency and certification records, ensuring all training completion is accurately recorded within the Skills Matrix.
  • Maintain electronic training and competency documentation, including scanning, filing and retaining supporting evidence within controlled document repositories.
  • Manage the Skills Matrix and employee training status, updating records following approved SSOW, Risk Assessment and document revisions.
  • Provide training compliance reporting and action tracking, supporting Team Leaders and Trainers with completion reports and follow-up of outstanding requirements.
  • Maintain the master Risk Assessment and Safe System of Work Register, ensuring approved documents are published, archived and retained as the business source of truth.
  • Coordinate HSE document control processes, including document numbering, version control, ownership records, review schedules and expiry monitoring.
  • Maintain document applicability records and controlled distribution, updating hyperlinks, controlled copies, training trackers and related records following document changes.
  • Identify personnel impacted by document revisions and coordinate refresher training requirements to ensure ongoing compliance with updated procedures.
  • Monitor and maintain Toolbox Talk, mandatory training and policy acknowledgement compliance records, highlighting overdue or missing requirements.
  • Support internal and external audits and produce compliance reports, providing accurate training, competency and document control data to support HSE performance monitoring.

Skills and Experience

  • Previous experience in an administration role
  • Experience of maintaining databases and records
  • Excellent organizational skills
  • Strong attention to detail
  • Proficient in Microsoft Office, specifically Excel, Word and Outlook
  • Strong communication and interpersonal skills
  • Ability to analyse, review and maintain data records
  • An understanding of HSE management systems would be an advantage
