Job Title: House Manager & Family Assistant (with Meal Prep Support & Back-Up Childcare)

Location: Hoboken, NJ 07030

Employment Type: Part-time (20–25 hours/week)

Proposed Start Date: ASAP

Compensation: $25–30/hour based on experience

Requirements:

  • Maintain a smoke-free environment
  • Reliable transportation (comfortable using family car, mileage reimbursement provided)
  • Must be up-to-date on vaccinations (flu, COVID, etc.)
  • CPR certification or willing to renew
  • Fluent in Spanish preferred

Proposed Schedule:

  • Monday to Friday, flexible day-time hours (e.g., 9:00 AM - 2:00 PM; 10:00 - 3:00 PM) with occasional weekend support and backup childcare when needed.
  • Hours may increase to accommodate school breaks, weekend events, or extra childcare coverage.

The ideal candidate will seamlessly integrate with our existing household support team, managing day-to-day needs and leading special projects independently. They will be proactive, anticipate needs, and help create a structured, organized environment that allows us to focus on our careers while enjoying quality family time. Additionally, we need someone who can positively manage our children’s high energy and occasional boundary-testing, with hands-on experience setting clear expectations, standing their ground when needed, and following through consistently—while maintaining a warm, nurturing approach that fosters respect.

Key Responsibilities:

Household Management & Organization:

  • Organize and maintain household systems (closets, pantry, toys)
  • Tidy and reset rooms daily, ensuring overall neatness and preparing for weekly cleaning services.
  • Load/unload dishwasher, wipe surfaces, vacuum high traffic areas
  • Oversee seasonal clothing swaps and donation coordination
  • Supervise or coordinate with service providers (e.g.,handymen, cleaners)
  • Manage family calendars, appointments, and school activities
  • Support packing/unpacking for trips
  • Keep the home ready for family events, holidays, and guest stays

Meal Planning & Preparation:

  • Plan and prepare fresh, healthy meals for lunch and dinner 3-4 times per week, focusing on balanced, protein-forward dishes with fresh vegetables, whole grains, and flavorful spices
  • Pack school lunches and manage meal prep for the week
  • Ensure meals adhere to family preferences and dietary needs; flavorful meals
  • Shop for groceries and meal-related items, restock pantry, and maintain a clean kitchen
  • Clean kitchen post-prep and manage kitchen tidiness

Family Support & Child Assistance:

  • Provide backup childcare for school pickups, after-school care, and emergency coverage when needed
  • Assist with transporting the children to extracurricular activities as their schedules evolve
  • Help with weekend childcare support when Nanny is unavailable
  • Assist with bookbags

Inventory Management & Errands:

  • Create and manage running household supply lists
  • Run household errands such as grocery shopping, dry cleaning, returns and gift shopping
  • Manage package pickups, mail sorting, and deliveries
  • Handle household supply inventory and ensure items are replenished regularly (e.g., toiletries, cleaning supplies)

Laundry & Linen Care:

  • Wash, dry, fold, and organize family laundry (e.g., clothing, bedding, towels)
  • Iron, steam, and prepare outfits as needed, drycleaning weekly pick-up;
  • Manage linens: rotate bedding, refresh towels, restock essentials
  • Keep laundry areas tidy and well-stocked with supplies

Deep Cleaning & Special Projects:

  • Manage home organization projects (e.g., pantry, toy storage, etc.)
  • Assist with photo organization (family photos, creating gallery walls, and organizing digital photos)
  • Oversee household deep cleaning projects as needed, refrigerator & oven

Vehicle Management:

  • Schedule and oversee maintenance, oil changes, and inspections
  • Ensure vehicles are fueled, cleaned, and organized
  • Track registration, insurance and service schedules

Administrative & Personal Assistant Support

  • Help with travel planning, research, scheduling and logistics
  • Assist with coordination of events, appointments, and guest prep
