Job description

Branch Operations Leadership | Full-Time | On-Site, Detroit Metro | Reports to the General Manager

  • $60,000 base + performance bonus up to $10,000/year + health, dental, vision and 401(k) match

Who we are:

Adaptive is an AI-native home health company. Our AI erases the admin waste that eats 40% of this industry's revenue, so we pay clinicians more and say yes to patients other agencies turn away. Our backers made early bets on Shopify, Canva, LinkedIn, and DocuSign. Detroit is our first new market.

The job:

You're the heartbeat of the branch. Your work directly impacts how many patients we can say yes to, and how much our clinicians like working here. Our AI takes a growing share of the admin off your plate, more of it every month. What it can't do is the heart of the job: knowing our clinicians personally and making the right patient-clinician match through a human lens.

You report directly to the General Manager as the GM's right hand, running the branch's visit schedule. Detroit is growing fast enough that your responsibility will grow with it.

What you own:

  • Our patients. More than a name on a schedule: you know the care each one needs and which clinician should deliver it.

  • Our clinicians. Where they live, how far they'll drive, who wants extra visits, who's stretched too thin to say so.

  • The plan. The 8 a.m. schedule rarely survives the day. You adapt fast and escalate anything that could affect a patient's wellbeing.

What great looks like:

  • You always find a way to get to yes, because the groundwork is already done: genuine relationships and favors banked before they're needed. The right matches keep utilization high, which keeps our clinicians well paid and happy to work here.

Who you are - One of two people:

  • You schedule for a home health agency today. The morning board, the call-offs, the frequency math: you already live this job. Here it comes with a title that matches the work, a direct line to the GM instead of a back office, and AI that takes legacy data entry off your plate so you can do the part you're actually good at. Fluency in HCHB or a similar EMR is a running start.

  • You've run a complex operation somewhere else. A dispatch desk, a staffing board, a flight schedule, a military movement plan. We'll teach you home health; we can't teach the hard-won operating experience you'd bring.

Either way: you can call audibles without breaking the operation, and you spot risk hours before it becomes a crisis. You put technology to work, then verify the work got done right.

Must-haves

  • 1-2 years of scheduling, coordination, or administrative experience (healthcare scheduling strongly preferred)

  • Strong attention to detail and ability to manage multiple competing priorities simultaneously

  • Excellent communication skills (phone, Teams, email) with clinicians, managers, and patients

  • Comfortable with technology and learning new systems quickly (HCHB, Monday.com, Smappen, Microsoft Teams)

  • Ability to work in a fast-paced, high-volume environment with tight turnaround time expectations

  • Strong problem-solving skills and ability to escalate appropriately when issues arise

Nice-to-haves

  • Previous home health scheduling or PCC experience

  • Familiarity with Homecare Homebase (HCHB) or similar EMR systems

  • Experience with geographic routing or coverage mapping tools
