Job Profile

The Field Logistics & Procurement Assistant (FLPA) supports the day-to-day implementation of logistics, procurement, and supply chain activities at field level. The role ensures that logistics and procurement processes are implemented efficiently, accurately, and in compliance with WCS policies, donor requirements, and national regulations, thereby supporting smooth program implementation in the field. 

The position is based in the field and works under the direct supervision of the Country Logistics & Procurement Manager, in close coordination with field management, program teams, finance, and security staff. 

Major Responsibilities 

Logistics & Procurement Support 

  • Support the implementation of procurement processes at field level in accordance with WCS procedures and donor requirements. 

  • Prepare procurement requests, collect quotations, and support supplier communication as delegated. 

  • Follow up on orders, deliveries, and services to ensure timely receipt and proper documentation. 

  • Assist with transport arrangements for goods, staff, and visitors in coordination with field management. 

Stock, Assets & Equipment Management 

  • Support the management of warehouses and storage facilities, ensuring proper storage, organization, and security of goods. 

  • Maintain accurate stock records and support regular stock counts and inventories. 

  • Assist in asset tracking, labeling, and updating asset registers at field level. 

  • Report losses, damages, or discrepancies promptly to the supervisor. 

Fleet, Premises & Facilities Support 

  • Support the daily management of vehicles, generators, and equipment, including logbooks, fuel tracking, and basic maintenance follow-up. 

  • Assist in coordinating vehicle movements in line with approved plans and security procedures. 

  • Support the maintenance and upkeep of offices, guesthouses, warehouses, and staff accommodations. 

  • Report infrastructure or facility issues and support minor repairs as requested. 

  • IT, Communications & Energy Support 

  • Support the functioning of basic IT and communication equipment (internet, radios, GPS), reporting issues and coordinating repairs as needed. 

  • Assist in monitoring the use and condition of energy systems, including generators and solar equipment. 

Compliance, Safety & Reporting 

  • Ensure logistics and procurement activities comply with WCS policies, donor rules, and security procedures. 

  • Maintain accurate filing of logistics and procurement documentation at field level. 

  • Support audit processes by preparing documentation and responding to requests. 

  • Follow safety and security protocols related to logistics operations, transport, and facilities. 

Coordination & Team Support 

  • Work closely with field program, finance, and security teams to support operational needs. 

  • Participate in coordination meetings as required and provide regular updates to the Country Logistics & Procurement Manager. 

  • Support the induction of new staff, consultants, and visitors on logistics procedures and field facilities.
