Job description

The Export Coordinator position is responsible for coordinating, routing, rating, and monitoring international shipments (Air/Road/Ocean) from pick-up through to delivery.

Essential Job Functions

  • Deals directly with clients, customs, and agents to ensure the quickest and best movement of cargo throughout the world.
  • Coordinate air and ocean export shipments from booking through final departure.
  • Prepare and process export documentation, including commercial invoices, packing lists, bills of lading, air waybills, certificates of origin, and customs documentation.
  • Book cargo with airlines, ocean carriers, and freight forwarding partners.
  • Communicate with customers, overseas agents, carriers, customs brokers, and transport providers to ensure timely movement of freight.
  • Arrange pickup, transportation, and delivery of export shipments.
  • Monitor shipment status and proactively resolve delays or service issues.
  • Ensure compliance with export regulations, customs requirements, and company procedures.
  • Accurately enter shipment information into the freight management system.
  • Verify freight charges, prepare quotations when required, and assist with invoicing.
  • Maintain complete and accurate shipment files and records.
  • Provide customers with shipment updates and documentation as needed.
  • Work closely with internal departments to ensure efficient service and customer satisfaction.
  • Other duties as assigned

      Skills & Competencies

      • Must possess strong working knowledge of all rules, regulations, governance, and documentation preparations, as it pertains to both Imports and Exports.
      • Strong organizational and time management skills.
      • Excellent attention to detail and accuracy.
      • Effective written and verbal communication skills.
      • Ability to manage multiple shipments and deadlines simultaneously.
      • Strong problem-solving and customer service skills.
      • Ability to work independently and as part of a team.
      • Knowledge of airline and ocean carrier procedures is preferred. 

          Qualifications:

          • High school diploma or equivalent; additional qualifications in logistics or supply chain are advantageous.
          • Previous experience in air and ocean export operations, freight forwarding, or international logistics preferred.
          • Knowledge of international shipping documentation and Incoterms.
          • Understanding of customs procedures and export compliance requirements.
          • Experience using freight forwarding or transportation management systems is an advantage.
          • Proficiency in Microsoft Office, particularly Outlook, Excel, and Word.

          Working Conditions: 

          • Full-time, office-based position with standard business hours.
          • Occasional overtime may be required to meet shipment deadlines.
          • Fast-paced logistics environment requiring flexibility and prioritization.
