About the Role

The Executive Assistant provides administrative and operational support to BU Leadership and Product Management teams, helping ensure the smooth and efficient execution of daily business activities. This role is responsible for coordinating executive schedules, business travel, meetings, events, and routine administrative processes while supporting collaboration across multiple functions. The ideal candidate is organized, detail-oriented, service-minded, and able to manage multiple tasks in a fast-paced environment. In this role, you will report to SVP & GM, Head of Global Product Strategy.

What You Will Do

All BU Leadership & Product Management Teams Support

  • Provide comprehensive administrative support to all BU leadership teams and Product Management teams, ensuring efficient day-to-day operations.
  • Coordinate business travel arrangements, including visa applications, invitation letters, reimbursement, and related logistics.
  • Assist with employees onboarding and offboarding activities.
  • Maintain/update Department monthly reports.
  • Coordinate sample shipments and logistics support as needed.
  • Ad hoc Requests

Meeting, Event & Operational Facilitation

  • Support internal and external meetings, workshops, and company activities (e.g., EMT Meeting, Townhalls, Annual Dinners, BU Workshops, CoA Meetings).
  • Coordinate administrative processes, including PR/PO/GR processing and company chop applications.
  • Ad hoc activities

Cross-functional Coordination

  • Partner with Administration, HR, Finance, and IT teams to support company initiatives (eg. Dept 5S, employee engagement activities, asset maintaining).
  • Ad hoc Requests

What You Need to Be Successful

  • Bachelor's degree or equivalent experience.
  • 2+ years of experience supporting Director, VP, or General Manager level executives in a multinational environment.
  • Strong project coordination and organizational management skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Exceptional attention to detail and follow-through.
  • Proven ability to work independently and anticipate business needs.
  • Experience coordinating international travel, events, and executive meetings.
  • Advanced proficiency in Microsoft 365 tools including Outlook, PowerPoint, Excel, Teams, and Copilot.
  • Good verbal and written communication skills in both English and Chinese.
  • Champion a better, faster and simpler way of doing things.
