Job description

Smart Resources is an administrative staffing firm specializing in the direct hire placement of administrative professionals!! 


Currently seeking an Executive Assistant to support a media team for a market research company!! 


To be successful you must possess and be able to: 

- Schedule all international and domestic travel arrangements as needed for the Division Leader and team Executives

- Coordinate calendars and meetings for multiple Executives as needed – reserve meeting rooms, assist with agenda, coordinate teleconference calls, set-up room, order food & beverage, etc.

- Coordinate meetings for various Media team members as needed

- Screen telephone calls, review mail and field miscellaneous requests

- Handling all correspondence and communication in a professional manner

- Create expense report for multiple Executives including reimbursement and reconcilitation

- Manage other support for the Executives

- Coordinate office services with other admins

- Support special projects as needed to include event planning

- Handle floor plans and all office moves for the Media Team

- Handle all new employee set-up and departing employee asset retrieval

- 5+ years of related experience, or a combination of education and experience to include executive administration.

- Highly organized, able to juggle multiple tasks/projects at once.

- Agile learner with ability to “think outside the box”.

- Enthusiasm for your work and a desire to set the highest standards for excellence within the company.

- Diplomatic, professional telephone manner and excellent written communication skills.

- Able to meet and surpass expectations by completing tasks immediately with exceptional accuracy 

- Expert in Microsoft Outlook, Word, Excel & PowerPoint.

- Associate’s Degree in a related field; Bachelor’s Degree preferred.


Prospect for new business using various tools and methods, including cold-calling.


Provide face to face sales presentations to potential customers.


Identify and secure new business relationships within assigned territory.


Understand market conditions, competitive activity and consumer preferences.


Maintain knowledge of our product lines & available service offerings.


Meet or exceed sales targets
