As an Event Assistant, you will be an integral part of our event management team. You will provide support to ensure the successful planning, coordination, and execution of a wide range of events, from corporate meetings and conferences to weddings and social gatherings. Your enthusiasm, organizational skills, and ability to work in a fast-paced environment will be key to your success in this role.
Key Responsibilities:
Assist with Event Planning: Collaborate with the Event Manager/Coordinator to plan and organize events. This includes researching venues, suppliers, and vendors, as well as creating event timelines and budgets.
Vendor Coordination: Communicate with vendors, contractors, and service providers to secure necessary resources for events. Negotiate contracts and ensure all details are documented accurately.
Logistics Support: Assist in the logistical aspects of events, such as setting up and tearing down event spaces, arranging seating, and ensuring all equipment and materials are in place.
Marketing and Promotion: Contribute to the marketing and promotion of events, including creating and distributing promotional materials, managing social media accounts, and updating event websites.
Administrative Tasks: Handle various administrative tasks, including filing paperwork, maintaining event records, and managing RSVP lists.
Problem-Solving: Be prepared to handle unexpected challenges that may arise during events and find creative solutions to ensure smooth execution.
- High school diploma or equivalent.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and event management software.
- Ability to work flexible hours, including evenings and weekends, as events demand.
