Job description

This Commercial Loan Coordinator Assistant (CLCA) is an integral part of the commercial lending process, supporting all commercial lending customers by processing requests received from senior loan support and banking staff. Primary responsibilities include reviewing and imaging documentation accurately, reviewing loan presentations to set up ticklers used for portfolio monitoring, distributing reports, ordering credit reports, lien searches and other due diligence items related to the commercial loan process. This position is essential for ensuring all requests are processed timely and accurately and therefore requires excellent customer service skills, effective time management and the ability to work in a fast-paced environment.

Responsibilities

  • Loan Documentation
    • Processes a high volume of requests within the designated service level agreement received via multiple platforms – email, system workflow and SharePoint site.
    • Reviews request and identifies necessary information needed to process requests and forwards to applicable team or department for review. This information/due diligence are items such as:
    • Disburses loan funds accurately, timely and in the appropriate manner as directed by the commercial team members.
    • Works with internal departments to ensure customer needs are met for services such as Business Online Banking, Deposit Accounts, Sweeps, etc.
  • Reporting
    • Reviews, organizes and distributes reports to commercial lending staff in accordance with the report schedule. Reports consist of some of the following:
    • Financial and Documentation Ticklers (Past Due)
    • Loans Maturing
    • In Process Applications
    • Approved Applications
    • Reviews and processes loan maintenance in accordance with procedures for the following:
    • Closed Loans
    • Commercial Sweeps
  • Establishing, Monitoring and Maintaining Loan Portfolio
    • Sets up or maintains customer records on all applicable systems for all new and existing relationships.
    • Sets up or maintains the relationships as required for the Bank Secrecy Act.
    • Forwards billings for third party services to Loan Operations in a timely manner.
    • Sets up, maintains and satisfies ticklers as required on applicable system for all financial reporting requirements.
    • Ensures that all pre-closing due diligence, including financials, is imaged into Nautilus and entered into LOS System where applicable.
    • Prepares, ensures accuracy and sends Customer Financial Letters bi-annually.
    • Notify and/or forward to the Correspondent Banking Department all documentation that is received for sold loans.
    • Perform the following processes accurately, timely and in the appropriate manner:
    • Prepare wire transfer forms
    • Prepare cashier’s checks
    • Perform BTE transfers
    • Prepare Payoff Letters
    • Ship documents via FedEx or UPS
    • Utilize Power PDF to modify documents as needed
    • Provide outstanding customer service while assisting customers and commercial bankers throughout the loan request and closing process.
    • Assist with Commercial Lending communications, including responding to incoming telephone calls, electronic mail, and voice mail.
    • Work with the appropriate department to research and resolve questionable matters for clients.
    • Provide support and assistance, and other related duties as assigned, in support of the daily functions of the Commercial Lending team.
    • Participate in internal and external training to maintain knowledge of Bank products, credit activities and regulations, and other appropriate training as required.

Education, Experience, and Other Expectations

  • H.S. Diploma or General Education Degree (GED)
  • 0-2 years of commercial banking support experience preferred.
  • Knowledge of and experience with commercial lending and banking regulations preferred.
