Job Summary
We are located at 100 Cummings Center, Beverly, MA. As a Family Medicine office, we provide physical examinations, routine health screenings, and preventative care for all ages, from infants through adults.We are seeking a part-time Clinic/Practice Assistant to join our team! This is a 24-hour-per-week position, with shifts scheduled as 8:00 AM–4:30 PM, 8:30 AM–5:00 PM, or 8:45 AM–5:15 PM, depending on the operational needs of the practice.
The primary coverage need is on Mondays, Tuesdays, and Fridays, though occasional adjustments may be required to accommodate staffing needs, PTO coverage, or other operational demands.
The schedule is based on the needs of the practice, and while flexibility to work any day of the week is preferred to help ensure adequate office coverage, we anticipate the employee will have a consistent schedule once established.
Work schedules are typically posted at least two weeks in advance, allowing employees to know their expected workdays ahead of time.
The ideal candidate has experience in direct healthcare, professional office environments, and/or administrative and customer service roles. They are a strong team player who thrives in a collaborative, fast-paced environment.
Summary:
Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check-in, check-out duties. Actual job duties may vary by Department.

Essential Functions
-Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
-Make patient appointments and maintain appointment records.
-Greet and assist patients.
-Answer telephones, assist callers with routine inquiries, and schedule appointments.
-File materials in patient folders, and print appointment schedules.
-Process patient billing forms and scan documents to patient medical record/LMR.
-Call for patient medical records and laboratory test results.
-Open and distribute unit mail or faxes.
-Type forms, records, schedules, memos, etc., as directed.
-May be required to accept co-payments.
-Handles, screens and/or takes messages related to prior authorizations,
-provider questions, prescription refills, and test results.
-Acts as "Super User" for scheduling, registration and billing systems.
-Provides assistance and training to others in these areas.
-May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
