About the Role

We’re looking for a Business Support Co‑ordinator to manage the day‑to‑day operations of our Cape Town office, ensuring a professional, well‑run, and efficient workplace environment.

This is a hands‑on, office‑based role responsible for facilities coordination, front‑of‑house operations, vendor management, and administrative support. You will play a key role in maintaining high operational standards, ensuring issues are proactively managed, and supporting a seamless employee and visitor experience.

Key Responsibilities

Office & Facilities Management

  • Take ownership of office facilities coordination, ensuring a safe, functional, and well‑maintained environment.
  • Log, track, and resolve maintenance issues (e.g. HVAC, plumbing, lighting, access control).
  • Manage relationships with landlords, building management, and service providers.
  • Conduct regular office checks across reception, meeting rooms, and shared spaces.
  • Maintain accurate facilities documentation and service logs.

Reception & Front‑of‑House

  • Act as the primary point of contact for visitors, ensuring a professional and welcoming experience.
  • Manage visitor access and adhere to H&S and security procedures.
  • Coordinate meeting room bookings and ensure spaces are prepared.
  • Handle calls, deliveries, mail, and courier logistics.

Administrative & Business Support

  • Provide structured administrative support to the Business Support team and office.
  • Coordinate onboarding logistics (workspace readiness, access setup, orientation).
  • Support internal meetings, events, and catering arrangements.
  • Maintain filing systems and handle confidential information professionally.

Financial, Fleet & Vendor Administration

  • Support procure‑to‑pay processes (purchase requests, invoices, supplier documentation).
  • Manage company credit card reconciliations.
  • Coordinate fleet administration including maintenance, licensing, and compliance.
  • Track office costs and support budgeting activities.
  • Manage and follow up on insurance claims and supplier documentation.

Health, Safety & Compliance

  • Support a safe and compliant office environment.
  • Assist with emergency preparedness, fire drills, and safety checks.
  • Escalate risks, incidents, and non‑compliance in line with procedures.

Qualifications & Experience

Minimum Requirements

  • Certification or Diploma in Facilities Management, Health & Safety, Business, or Financial Administration.
  • 5–10 years’ experience in office coordination, facilities coordination, or similar corporate roles.
  • Proven experience managing facilities and service providers.
  • Experience with financial administration (P2P processes, invoicing, credit cards).
  • Proficiency in MS Office 365 (Outlook, Excel, Word, PowerPoint).
  • Valid driver’s licence and own reliable vehicle.
