Scope of Position:

The Assistant Reservations leads the reservations team to exceed guest expectations through precise booking management and strategic inventory control. This role focuses on maximizing hotel revenue by overseeing the daily lifecycle of FIT, Group, and Event bookings while ensuring seamless synchronization between OPERA Cloud and TARS. The position ensures that all departmental policies and procedures are implemented consistently and provides the necessary operational data to support the Revenue Manager’s analysis.

Responsibilities:                  

  • Operational Leadership: Manage the daily performance and workflow of the reservations team to ensure adherence to established policies and procedures under the guidance of the Reservations Manager.
  • System & Data Integrity: Maintain absolute accuracy within OPERA Cloud and TARS. Ensure all reservations, market codes, and guest profiles are correctly captured to support the Revenue Manager’s analysis.
  • Group & Event Logistics: Take full ownership of the administrative lifecycle for Groups and Events, including managing rooming lists, block monitoring, and special group requests.
  • Performance Management: Monitor daily telephone/email standards and team performance, providing hands-on training to ensure luxury service standards are met consistently.
  • Inventory & Rate Management: Perform the technical recording of Company, Travel Agent, and FIT rates. Proactively alert the Reservations Manager to changes in hotel availability to ensure timely strategic action.
  • Guest/Account Recognition: Ensure the team provides bespoke handling for repeat guests, VIPs, and long-stay suite guests as identified by management.
  • Departmental Administration: Manage staff work schedules and ensure the department maintains a neat, orderly, and professional environment at all times.
  • Responsible for various Production reports and supply to each department concerned.
  • Matric, with a relevant diploma, either in Hospitality Management or equivalent

Experience:

  • Minimum 5 years in Reservations, with at least 2 years in a leadership role within a luxury hotel environment.
  • Strong understanding of the South African luxury and inbound travel markets. Advanced proficiency in OPERA Cloud is essential; experience with TARS is highly advantageous.
  •  Possess or attain affiliation with leading industry Association within three years of hire/taking position
