Job description

The Student and Academic Services Department (SASD) is a dedicated team committed to delivering comprehensive support across the entire student life cycle—from admission and matriculation to graduation and beyond the classroom. SASD works collaboratively with schools, colleges, and autonomous institutes to ensure a seamless and enriching academic journey for all students.

This position sits with the Office of Global Education and Mobility (OGEM), which is responsible for developing, managing and implementing short-term experiential academic programmes with credits. The successful candidate will be part of the GEM Discoverer unit that provides student support services and promote OGEM short-term overseas immersion programmes to NTU undergraduates. In this multifaceted role, you will be responsible for supporting the Manager in student support services, executing programme publicity and outreach activities and events, creating compelling copy in social media, programme reporting, and data analysis. 

Key Responsibilities:
1. Publicity, Marketing & Outreach

  • Support the Short-Term Programme Manager in planning and executing integrated marketing and outreach strategies for GEM Discoverer programmes.

  • Develop and manage content across digital and on-ground channels (e.g. social media, website, email communications, roadshows, information sessions), including copywriting and basic design.

  • Craft clear and compelling communication messages for student engagement, including programme briefings, outreach materials, and marketing campaigns.

  • Ensure consistency and alignment of messaging across platforms in collaboration with internal stakeholders and external vendors.

  • Monitor and analyse outreach performance (e.g. engagement, participation rates), and recommend improvements to enhance effectiveness.

  • Edit and proofread content to ensure accuracy, clarity, and alignment with organisational branding.

2. Programme & Outreach Execution

  • Plan and execute outreach activities and events (e.g. fairs, talks, information sessions), including logistics coordination, vendor liaison, and on-site support.

  • Coordinate programme operations, including management of students, vendors, and stakeholders to ensure smooth delivery.

  • Support the Manager in daily operations, troubleshoot issues, and ensure a seamless experience for students and partners.

  • Track and manage event budgets and expenses, ensuring cost-effectiveness and proper documentation.

  • Collect and analyse post-event feedback to support continuous improvement.

3. Student Services & Programme Operations

  • Provide administrative and operational support, including student advisory, application processing, mobility system/portal management, and handling enquiries from students and partner institutions.

  • Support student engagement across the programme lifecycle, including pre-departure and post-programme activities.

  • Collect and analyse data to generate reports on programme performance, student engagement, and return on investment. 

  • Monitor key performance indicators, identify trends, and provide insights to support decision-making.

  • Collaborate with finance and procurement teams on invoicing, payments, and purchase orders.

  • Contribute to the development and enhancement of operational processes, documentation, and policies.

Candidate Requirements:

  • Degree in any discipline with at least 2 to 4 years of relevant experience in marketing, communications, or programme management.

  • Strong written and verbal communication skills, with the ability to craft clear and engaging content for different audiences. 

  • Strong interpersonal skills and a collaborative approach to working with internal and external stakeholders. 

  • Confident in public speaking and student engagement settings as the successful candidate will be expected to conduct information sessions for students.

  • Proficient in Microsoft Office applications, especially Excel, for data analysis and reporting.

  • Proficiency in content creation and design tools (e.g. Canva); experience with Adobe Creative Suite (Photoshop, Illustrator, Premiere Pro, Lightroom) is an advantage.

  • Familiarity with CRM systems or data analytics tools is an added advantage.

  • Proven ability to manage multiple tasks and priorities in a fast-paced environment. 

  • Strong organisational skills and possess the ability to analyse and improve operational processes.
