THE ROLE

The HR Administrative is a key support role responsible for delivering high-quality administrative and operational HR support. This role ensures efficiency, accuracy and compliance of HR administrative processes.

This position is initially offered through a temporary agency (ETT), with the possibility of future internalization based on performance and business needs.

Key Contacts: HRBP, HR Director, Managers, Employees, Labor Advisors, External training providers, Finance.

 

MAIN ACCOUNTABILITIES:

HR ADMINISTRATION (CORE FOCUS):

·         Manage and maintain employee documentation (contracts, absences, etc.)

·         Support payroll preparation and coordination with labor advisors

·         Support audit readiness and documentation compliance

·         Provide administrative support to HRBP and HR Director

·         Ensure confidentiality and data protection

LABOR ADMINISTRATION & COMPLIANCE:

·         Support Spanish labor administrative processes

·         Maintain absence and working time documentation

·         Act as first point of contact for employees regarding labor-related queries (leave, absences, and general HR administrative matters)

HR OPERATIONS & REPORTING:

·         Support HR reports and documentation

·         Maintain HR procedures and templates

·         Support HR projects and policy implementation

·         Ensure data accuracy and consistency in HR systems

·         Support HR dashboards and reporting

 

TRAINING & DEVELOPMENT ADMINISTRATION:

·         Collect and consolidate training needs

·         Maintain training plan and tracking files

·         Coordinate training logistics

·         Support FUNDAE processes

·         Monitor training execution and reporting

RECRUITMENT & TALENT ADMINISTRATION:

·         Support job postings and candidate tracking

·         Manage recruitment documentation

·         Ensure recruitment process closure

·         Support onboarding and offboarding processes

FACILITIES AND EHS SUPPORT (LIMITED):

·         Provide support to facilities

·         Provide support to the EHS process

·         Coordinate with Facilities when required

 

To be successful in this role you are likely to have the following skills/experience/qualifications:

·         Administrative or HR-related qualification

·         Strong organizational skills and attention to detail

·         High level of confidentiality and professionalism

·         Ability to manage multiple tasks

·         Good communication skills

·         Fluent Spanish and good English level

·         MS Office proficiency

·         HRIS knowledge is a plus

·         Experience in HR administration or payroll support is a plus

·         Knowledge of Spanish labor processes is a plus
