The Administrative Assistant is a pivotal role supporting two senior executives - SVP, Publicity, Events, and Awards and SVP, Insights & Analytics - in STARZ’s New York office. This position is ideal for a proactive, highly organized individual who is eager to build a career in entertainment publicity and events.


This role blends essential administrative support with publicity opportunities. Responsibilities range from managing calendars and budgets, to supporting the team at major publicity events. The right candidate is resourceful, fast-learning, and thrives in a dynamic fast-paced environment.

Responsibilities

  • Executive support and day-to-day administrative duties including scheduling virtual and in-person meetings, compiling contact lists, preparing agendas and itineraries, ordering supplies, and maintaining organized workflows.
  • Oversee complex, high-volume calendars across multiple time zones, fielding meeting requests and scheduling call logistics between internal teams, external partners, talent representatives and senior leadership. Determine the importance of meeting requests and schedule accordingly.
  • Ability to interact seamlessly and with a professional demeanor with high level executives, showrunners, talent teams and industry stakeholders.
  • Arrange domestic and international travel including airfare, hotel, ground transportation and detailed itineraries.
  • Manage departmental budgets with accuracy, including tracking, coding and submitting invoices and accruals.
  • Prepare expense reports and work closely with accounting and finance departments. Partner with other operations teams including IT, Security and Facilities.
  • Oversight of publication subscriptions, renewals, memberships and related account management.
  • Maintain and update calendars and contact lists.
  • Assist with talent travel, glam scheduling, itineraries and day-of logistics for press days.
  • Contribute to planning, staffing and talent/media relations for premieres, press junkets, FYC events, and other publicity events.
  • Assist with PR research, trend tracking and writing press materials as needed.
  • Participate in department brainstorms and exposure to PR strategy and campaign development
  • Provide additional departmental assistance and handle special projects as assigned.

Qualifications & Skills

  • Bachelor’s degree
  • 2+ years of administrative experience
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), G-Suite, Zoom, Teams and Slack. Familiarity with Concur, WorkDay and PR tools as Cision, MuckRack, Critical Mention is a plus. Must be tech savvy.
  • Exceptional written and verbal communication, organizational and project-management skills. Applies solid writing, editing and proofreading skills for emails, presentations and other correspondence.
  • Good judgement and ability to handle confidential information with discretion and professionalism.
  • Highly detail-oriented with the ability to meet tight deadlines and pivot quickly.
  • Ability to prioritize and ensure that all assignments are completed in an accurate and timely manner.
  • Thrives in a fast-paced environment and has excellent problem-solving skills.
  • Exceptional multitasking capabilities with an acute attention to detail.
  • Excellent interpersonal skills with a confident, polished presence.
  • Resourceful and eager to implement new organizational systems and processes.
  • A fast learner with a proactive mindset and genuine interest in growing within entertainment publicity and/or events.
  • Willingness to roll up your sleeves - making sure essential day-to-day executive support needs are met.
  • Build strong working relationships with administrative partners.
  • Demonstrates curiosity, initiative and readiness to take on more, while maintaining focus on key administrative priorities.
  • Interest in and knowledge of the entertainment industry and PR is preferred. Willingness to work various events during weekends and evenings as necessary.

Compensation

 $55,000 -  $65,000
