Administrative Assistant

In this role, you will work with a team of industry experts to help the world’s leading companies solve their most difficult problems. You will partner with seasoned leaders, technical specialists, and subject matter experts to deliver the highest quality solutions to our clients with consistency and accuracy.
What You’ll Do
You'll work individually and in teams to support capital projects and implement solutions for our clients. Together, you will help our clients make critical changes to improve their performance and realize their most important goals.
- Provide general administrative support for a large engineering consulting office, including:
- Greet clients, vendors, recruits and other visitors in a courteous and professional manner
- Answer the main switchboard and route incoming calls to appropriate personnel
- Assist with scheduling meetings and preparing conference rooms along with visitor logistics
- Provide assistance with travel arrangements and maintaining an up-to-date Outlook travel calendar
- Process incoming and outgoing courier (FedEx/UPS), fax, and U.S. mail
- Keep lobby/office areas 7S neat and orderly
- Maintain, track and order office supplies and equipment including PPE stock
- Update the office safety plan as needed and is office Safety champion
- Track material costs utilized by our project teams and generate monthly reports
- Create and update articles to intranet along with PowerPoint presentation updates
- Support emergency action plan updates and communications
- Support planning and execution of team events and celebrations
- Support interview process and new professional on boarding
- Prepare project manuals, binders and documentation packages as required
- Respond to routine inquiries and provide accurate and organized solutions
Requirements:
- 3-8 years of solid Administrative/Receptionist experience preferred; entry-level candidates will be considered.
- We are open to candidates interested in a part-time or a full-time position
- Strong written and verbal communication skills
- Advanced working knowledge of Microsoft Office Suite (PowerPoint, Outlook, Word, and Excel.) Experience with Microsoft Visio is a plus.
- Professional demeanor, reliable team player, multi-tasker, strong customer service attributes
- This position could be a part-time 4 days part-time or a 5 days full time position
Education:
- High school diploma or equivalent required; Bachelor’s degree or associate degree in business administration or related field is ideal, but not required
