The Division of Student Affairs - Department of Student and Family Engagement Student Orientation Assistant provides behind-the-scenes support for new student orientation programs and ongoing orientation initiatives. This position serves as a departmental aide to assist with orientation preparation, administrative tasks, digital platform management, and marketing support to help the department continuously prepare for upcoming orientations and maintain orientation-related initiatives throughout the academic year.Job Description
Primary Responsibilities:
- Provide behind-the-scenes support to New Student Orientation programs by assisting with ongoing preparation and orientation-specific administrative projects.
- Assist with orientation event preparation including planning, setup, and tear-down for orientation programs and activities.
- Support administrative tasks related to orientation logistics, materials preparation, and departmental organization.
- Manage and update the EngageLeo Platform to promote upcoming orientation activities and maintain orientation-related content.
- Handle orientation-related email management tasks including correspondence, scheduling, and communication coordination.
- Create and manage social media content across various platforms to promote orientation programs and upcoming events.
- Develop orientation marketing materials, information packets, and promotional content using design software and university branding guidelines.
- Assist with preparation of orientation materials, welcome packets, and informational resources for new students.
- Manage and oversee orientation bulletin boards, digital displays, and informational materials for incoming students.
- Support inventory management and organization of orientation supplies and materials.
- Assist with data entry, record keeping, and tracking orientation-related information.
- Provide general departmental support during busy orientation periods as assigned by department leadership.
- Assist department staff with questions, research, and information requests related to orientation planning and preparation.
- Support the orientation leadership team with various administrative and programmatic projects.
- Perform all other duties and responsibilities as assigned or directed by supervisors.
Qualifications:
Education/Experience
- Strong oral and written communication skills in English are required.
- Education or job experience in an office environment is a plus but is not required.
- Education or job experience in event planning, hospitality, student affairs, communications, marketing, and/or public relations is a plus, but not required.
- Eligible to become Saint Leo University Van and Golf Cart Certified.
Knowledge, Skills, Abilities
- Ability to communicate clearly, effectively, and professionally in spoken and written English.
- The ability to speak and write in a second language is a plus but not required.
- Ability to work effectively in an inclusive and professional environment.
- Ability to work independently with minimal supervision and adapt to changing priorities during busy orientation preparation periods.
- Ability to multi-task and prioritize tasks to meet deadlines in a fast-paced environment.
- Required proficiency in Microsoft Outlook, Word, and Excel for email management and administrative tasks.
- Required proficiency in Canva for creating marketing materials and promotional content.
- Intermediate proficiency in social media platforms (Instagram, Facebook, TikTok, etc.).
- Experience with event planning and coordination software is a plus.
- Detail-oriented with strong follow-up skills and ability to complete assigned projects.
- Positive, pleasant attitude with excellent problem-solving abilities and attention to detail.
- Professional attire required for orientation events and university functions.
- Flexibility to work evenings and weekends as orientation preparation requires.
- Ability to adapt to changing weekly schedules based on orientation preparation calendar and department needs.
Minimum Qualifications:
- Enrolled full-time at Saint Leo University in an Undergraduate Campus program.
- Not eligible for Federal Work Study funding (this is a non-federal position).
