Job description

The Travel Division is a high-end, luxury Travel Agency, working alongside our sister company Air Charter Service, to ensure that their charter customers have exclusive access to a range of ancillary products, including Luxury Hotels, Premium Cabin Flights, and top-of-the-range Villas & Yachts.

We are looking for an Personal Assistant and Team Coordinator to join our Travel Division team in London, to provide support in planning, scheduling, reporting, and organization of a growing global business.

As a trusted assistant to the Global CEO, you will provide visibility on reports, ensure tasks are well-managed, and help maintain oversight across the overall business, in the various locations we trade in.

Duties will include but are not limited to: 

  • Provide direct support to the Global CEO and, where required, the wider team.
  • Managing diary, schedules, emails, travel, and expenses for the Global CEO.
  • Handling confidential info with absolute discretion.
  • Coordinate meetings, prepare agendas, capture minutes/actions, and follow up to ensure completion.
  • Take ownership of departmental reporting: trackers, business updates, customer lists, sales figures.
  • Ensuring incoming reports and requests are actioned in a timely manner.
  • Support growth initiatives, including (but not limited to) technology upgrades, marketing projects, global recruitment.
  • Act as a liaison point between stakeholders in a variety of fields, ensuring clear communication and expectations management.
  • Build strong relationships across all of the associated teams within the Travel Division, acting as a trusted point of contact for Travel Division related matters for the wider business. 
  • Take ownership for onboarding schedules for new global team members.
  • Involvement in event organization, both in the UK and remote assistance for our international teams.
  • Assisting with agendas for cross-office summits and meetings.
  • A strong work ethic, reliable personality, energetic demeanour & very positive “can-do” attitude.
  • Exceptional organisational skills with meticulous attention to detail.
  • Strong written and verbal communication skills, and confidence in building relationships with a wide range of people.
  • An inquisitive nature with the confidence to ask probing questions and challenge assumptions constructively.
  • A collaborative, proactive, and flexible approach to teamwork.
  • Proficiency in Microsoft Office suite and collaboration tools, in particular Excel (which is a must), but also Word, PowerPoint, Copilot is an advantage.
  • Ability to collate, analyse and present information in a structured and actionable way.
  • Confidence in building relationships with a wide range of people.
  • £35,000 per annum

Compensation (from employer):
