Summary of the work 

To analyse across the organisation the existing processes of administering booking a resource, such as a room or facility, booking a place at an event, or booking officer time, and suggest an improved process.

About the work

Who the specialist will work with 

Service delivery teams throughout the council, including those that deliver library services, registration of births, deaths and marriages, sports pitch booking, room booking for conferences, road safety information, outdoor activity courses and events, and the council's Digital Services Team.

What the specialist will work on 

We are looking to implement a new process for administering bookings. This includes booking a resource, such as a room or facility, booking a place at an event, or booking officer time. This will be delivered through a digital capability to be administered by a small team, rather than by many across the organisation. The analyst will interview individual service delivery teams that currently perform this role, and collate their findings into a suggestion for a corporate process/processes, working with the Digital Service Team. The findings will include costings and projections of time and financial savings that could be made.

Working arrangements 

The work will involve face-to-face meetings with service delivery teams in our Newbury offices, and working with the council's Digital Services Team, which can be done remotely, when needed.

Skills and experience

Essential skills and experience 

  • Excellent face-to-face interview skills
  • The ability to talk to, and gain the cooperation of people at all levels in the organsation
  • The ability to document an "as is" process
  • A good understanding, and a track record of using Business Process Model and Notation
  • The ability to calculate the time and cost of an existing process
  • The ability to calculate the time and cost of a proposed process
  • The ability to design a new process, based on a set of similar but separate existing processes
  • A good understanding of how digital capabilities may be used to deliver a service
  • The ability to use moden communication methods, such as Skype or Google Hangouts

Nice-to-have skills and experience 

  • The ability to use Trello or a similar kanban board
  • An understanding of how a how a Unitary Authority works and the services it offers
