About the Role
The Events Executive is responsible for the local delivery of events that support student recruitment, schools outreach and the on‑campus student experience, operating within nationally defined frameworks and standards.
The role sits within the campus team and focuses on effective planning, coordination and delivery of events that reflect local priorities, while contributing to wider institutional objectives. Clear national ownership of strategy, standards and resourcing is provided by the Head of Events; Events Executives are responsible for on‑the‑ground execution.
The role requires strong organisation, communication and collaboration with campus colleagues, recruitment, marketing, academic teams and students, ensuring events are delivered consistently, safely and professionally.
Key Responsibilities
1. Recruitment Events & Conversion Activity
- Coordinate and deliver campus-based recruitment events and conversion events, including Open Days and Open Evenings, Applicant Days, Taster Sessions, Experience Days and Offer Holder activity (in-person and virtual).
- Deliver recruitment activity that aligns with national campaigns while reflecting local campus priorities and audiences.
- Represent ICMP and SAE at UCAS fairs, HE fairs, exhibitions and expos, locally and nationally, with appropriate training and support.
- Collect feedback and event data to support the evaluation of events and identify opportunities for improvement.
2. Schools & Colleges Outreach
- Facilitate local schools and colleges outreach activity across the campus catchment area.
- Monitor outreach stock (flyers, freebies, totebags etc) and support with reordering as necessary.
- Deliver presentations and campus tours to prospective students and advisers, both on-site and off-site.
- Work alongside colleagues to support outreach that contributes to widening participation and Access & Participation objectives.
- Help build and maintain positive relationships with schools and colleges.
3. Sales, Data & Recruitment Systems
- Support delivery against recruitment-related event targets and KPIs.
- Work closely with stakeholders to ensure the Recruitment and Admissions Team effectively follow-up with attendees.
- Maintain accurate event records and attendee data using systems such as Salesforce.
- Use reports and insight to understand audience engagement and support continuous improvement.
4. Digital, Virtual & Hybrid Events
- Assist in delivering virtual and hybrid events, using platforms such as Zoom and Eventbrite.
- Support event setup, registration journeys and communications to ensure a positive attendee experience.
- Gain confidence in digital engagement tools and event technology with guidance from the wider team.
5. Key Student Experience Events
- Coordinate and deliver key student journey events, including: Welcome Week / Freshers activities and Graduation ceremonies
- Where workload allows, assist with activity that supports student belonging, engagement and overall satisfaction.
- Work with academic teams and student services to support student-facing events, including end-of-term showcases and performances such as Outro, Sync
- Assist with delivery of masterclasses, Songwriter Circles and guest programme, including event logistics and guest support.
- Events support attendance through event-specific communications, while broader student communications (e.g. newsletters) sit with the relevant central function
6. Planning, Logistics & Administration
- Support event logistics including venues, co-ordinating staffing, suppliers and materials.
- Help maintain event plans, schedules and risk assessments.
- Ensure events are delivered in line with health & safety, safeguarding and equality policies.
- Support with financial administration, including maintaining budget trackers, and uploading receipts
What We're Looking For
We’re seeking someone who:
- An interest in events, marketing, student recruitment or higher education.
- Experience gained through student ambassador roles, volunteering, internships, part-time work or similar customer-facing activities.
- Confident communicator with good presentation and interpersonal skills.
- Strong organisational skills with the ability to manage multiple tasks.
- Willingness to learn and develop skills in events delivery, recruitment and data systems.
- Comfortable working with technology and digital platforms.
Desirable:
- Experience supporting events, outreach or open days.
- Interest in creative education and the higher education sector.
- Familiarity with CRM systems or event platforms.
