About the role

  • Organized. Strategic. Adaptable to any climate. If this sounds like you, this could be a perfect match! A unique Personal Assistant opportunity directly supporting a busy CEO of a Canadian company.
  • This isn’t a standard admin or 9-5 job.  We need a proactive, sharp, and adaptable assistant who thrives in a fast-moving environment. Your job is to keep the CEO organized and play a critical role as the executive’s organizational anchor.
  • Keep projects moving forward, and make sure things get done before they ever hit their plate. You’ll be directly involved in every part of the business, partnerships to clients.
  • This role provides essential administrative, governance, and communications support that contributes directly to the effectiveness of leadership and the delivery of services to the clients.

What you'll do

  • Manage the CEO’s priorities, clients, accounts, work with confidential documents and make sure nothing slips through the cracks.
  • Keep projects on track, flag issues early, and follow up with team members.
  • Travel with the CEO in and out of province and set up business meetings.
  • Draft and respond to emails, handle communication with contractors, partners, and external stakeholders.
  • Research opportunities (partners, trends, tools) and present findings.
  • Take tasks as far as possible before they reach the CEO; follow through to completion
  • Track deadlines and follow up on action items.
  • Liaise with internal departments and external partners.

Qualifications

  • 3+ years of experience as a personal assistant or in a similar role in a fast-paced environment
  • Highly organized and detail-oriented, with strong follow-through
  • Excellent communication skills (written and verbal)
  • Proactive mindset — able to identify and complete tasks without needing direction
  • Tech-savvy and comfortable using Microsoft Office, Gmail, Google Workspace, CRM systems, QuickBooks, and project management tools
  • Strong work ethic with a positive, go-getter attitude
  • Must be based in Vancouver or the Lower Mainland and hold a valid Class 5 driver’s license with a clean abstract
  • Must be willing to travel in and out of province
  • Ability to speak Cantonese and/or Mandarin is considered an asset

Salary Range: $45k to start
