Hours/Shifts

Monday to Friday, 8-hour shift from 9:00 AM – 5:00 PM (five days per week in-office), based on operational needs. Schedules are subject to change to meet departmental needs.

Integrated Employment Services (IES) Program  The IES program provides tailored support for individuals facing barriers to employment, helping them achieve meaningful, long-term outcomes. By addressing the unique challenges of each client, we create pathways to sustainable employment that transform lives and strengthen communities. 

Reporting to the Supervisor, the Administrative Assistant will provide administrative support to our Employment program team. This role plays a key part in ensuring accurate documentation, timely data entry, and smooth day-to-day administration operations to support service delivery. The duties and responsibilities of this position includes but not limited to:

. Managing data for the employment department’s programs;

·       Entering, updating, and maintaining client data in internal databases

·       Strong focus on financial management, liaising with internal accounting department

·       Supporting file management, documentation tracking, and record clean-up

·       Assisting with scheduling appointments, meetings, and interviews

·       Preparing reports, spreadsheets, and basic correspondence

·       Supporting compliance with program reporting and documentation requirements

·       Responding to internal inquiries and supporting team workflow as needed

·       Adhering to agency policies, funder guidelines and related legislations.

This is a non-union/non-management position.

Requirements

  • Two years of experience in an administrative assistant or office support role
  • Strong attention to detail and ability to manage high-volume data entry
  • Experience working with databases, spreadsheets, and digital file systems
  • Proficient in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
  • Strong mathematical skills for financial documentation
  • Excellent organizational skills to prioritize multifaceted program and operational responsibilities to ensure timely completion of tasks
  • Excellent problem solving, analytical skills, and decision-making skills in order to prioritize and deal with issues as they arise or refer to a higher authority in a timely manner, if necessary
  • Experience supporting employment, social services, or community programs is an asset

 

Preferred Qualifications:

·       Ability to work well under pressure to ensure minimal interruption in service delivery

·       Practical experience with Future Fit AI Platform

. Working knowledge of Integrated Employment Services
