Job description

Marketing Specialist

I.             Summary

Reports to: Chief Marketing Officer

Employment Status: Full-Time, Exempt

Supervises: None

The Marketing Specialist keeps the department’s advertising and media plans running smoothly day to day. This role executes on marketing and pricing strategy set by department leadership — coordinating creative assets, managing campaign timelines, and serving as the primary point of contact with advertising vendors, agents, and guest artist management teams. The Specialist tracks invoices and department budgets, regularly reports on marketing performance data, and keeps dashboards, calendars, and records current and accurate — flagging issues before they become problems. This is an execution-focused role for someone who takes pride in organization, follow-through, and improving processes.

II.           Primary Duties and Responsibilities

  1. Serve as primary point of contact for coordinating delivery of creative assets to media partners and platforms, ensuring accurate specs and on-time trafficking.
  2. Maintain and organize a shared creative asset library so materials are easy to find, current, and ready for use across the department.
  3. Maintain seasonal advertising calendars, campaign flight dates, and budget tracking tools, flagging changes or conflicts as they arise.
  4. Meet regularly with advertising vendors and media partners to review rate sheets, campaign flight dates, and creative delivery schedules.
  5. Build and maintain reporting dashboards for campaign pacing, ticket sales, and audience growth, keeping data current and accessible for leadership review.
  6. Manage day-to-day correspondence with guest artists and their management teams regarding marketing materials, approvals, and promotional needs.
  7. Assist in preparing post-campaign reporting summaries, pulling data from CRM, ad platforms, and vendor reports.
  8. Prepare advertising expenditure summaries for distribution to the Artistic Programming team following performances.
  9. Monitor campaign budgets and spending against approved plans, flagging discrepancies for review.
  10. Track and reconcile vendor invoices against contracted rates and approved budgets, flagging any discrepancies before they reach the finance department.
  11. Prepare regular budget status reports for department leadership, summarizing spend to date against approved plans across all campaigns and vendors.
  12. Regularly track marketing performance data — campaign, sales, and audience metrics — and compile clear, digestible reports that surface trends and actionable takeaways for leadership.
  13. Coordinate with the Communications team to ensure paid and organic materials are aligned and delivered on schedule.
  14. Maintain organized records of vendor contracts, added-value commitments, and performance expectations.
  15. Support execution of institutional marketing campaigns for the Nashville Symphony and Schermerhorn Symphony Center.
  16. Provide timely, accurate status updates on campaigns, deadlines, and deliverables to department leadership and other stakeholders.
  17. Assist with research using audience insight tools, such as Placer.ai, to support planning conversations as directed.
  18. Other duties as assigned.

The duties listed above are not all-inclusive. The person in this position is expected to perform other work-related duties as assigned, even though they may not be considered primary duties.
